Agency Web Site Excess TrafficRevenue Program

Every agency with a website will eventually have someone submit aquote request they can not provide due to the requester being out ofstate or a productline they do not handle.

Often the agency reaction is to put in big red letters onthe website "WE CAN ONLY DO BUSINESS IN THE STATE OF....."

However, if you consider this for a moment, it doesn'tmake a lot of sense. Most of the sites on the Internet get paid fortraffic through one means or another, why should an insurance agency notbe able to profit from excess traffic.

If an agency has a common name like Johnson Agency,Advantage, Main Street etc., it can be surprising how much out of statetraffic will visit the agency website.

Insureme has developed anaffiliate program that willdirect that type of site visitor to a quote request form that can bepassed on toanother agency and the referring agency is paid a referral fee. Forexample, you are only licensed in California, a visitor comes to yoursite, clicks request a quote and picks the state of New Mexico, it willroute that visitor to the Insureme quote request form and the referringagency will be paid a referral fee based on type of business (currentlyit's $11.19 for a preferred risk auto referral and varies by type ofbusiness)

In the above example, if the visitor clicked California,then they would be directed to your quote form and sent directly toyou. The visitor is only referred to Insureme quote forms if theyselect a state you are not licensed in.

This is a great programand some of our agents report they receive enough revenue from thisprogram to more than pay for their monthly website cost. The affiliateprogram is built in to our AgencyWorkz program and all the agency needsto do is sign up and get an affiliate number.

Creating & Managing Email Accounts on the WorkzHost Server

WorkzHost -Setting up Your Email Accounts

To setup or manage your email accounts login at http://admin.workzhost.com.

Once you have logged in click on the "Home" link in the left panel.

Scroll down to the "Domains" section andclick on the domain name you want to create email accounts for:

Then click on the "Mail" icon:

You can then click the "Add New Mail Name" icon, or if managing anexisting account click on the email name already created:

Input the mail name and password as shown below. The "Enable SpamFiltering" box can be unchecked as Spam filtering is done prior toreaching the hosting server. If you are experiencing a large volume ofSpam please post a support ticket in your SupportWorkz account.

Click OK and the email account has been created.

How to setup Microsoft Outlook to work with your domain email.

WorkzHost -Setting up Microsoft Outlook

Thistutorial shows you how to set up Microsoft Outlook to work with youre-mail account. This tutorial focuses on setting up Microsoft Outlook2003, but these settings are similar in other versions of MicrosoftOutlook. You can set up previous versions of Microsoft Outlook by usingthe settings in this tutorial.

1. In Microsoft Outlook, select Tools then E-mail Accounts.

2. Select Add new, or if modifying an existing account select View orchange.

3. For your server type, select POP3 and click Next.

4. For this tutorial assume your domain name is YOURDOMAIN.COM
On the Internet E-mail Settings (POP3) window, enter your informationas follows:

Your Name
Enter your first and last name.
E-mail Address
Enter your e-mail address.
User Name
Enter your e-mail address, again.
Password
Enter the password for your e-mail account.
Incoming mail server (POP3)
Your incoming server is mail.yourdomain.com
Outgoing mail server (SMTP)
Your outgoingSMTP server is mail.yourdomain.com

NOTE: Your ISP (the company you useto connect to the Internet) may not allow domain SMTP. If this is thecase you will need to contact your ISP and ask them what their outgoingSMTP should be.

5. Click the More Settings button, and on the Outgoing Server tab asshown below verify the "My outoing server (SMTP) requiresauthentication" is checked and the "Use same settings as my incomingmail server" is checked. Click OK.

6. Click the Test Account Settings button if no errors are returnedyou are done.
NOTE: If the test message does not send properly the account maystill be fine. Try to send a reqular message instead of (Test AccountSettings.)

7. Click Next.

8. Click Finish.

Displaying Full Email Headers in Outlook and Outlook Express

To display Full Headers inMicrosoft Outlook:

Please right click on the Message, and selectOptions.

The full headers will be displayed in the field labeled"Internet Headers".

Select (block) the contents of this field with yourmouse and select CTRL-C to "copy" the selection.

You can then "paste" thecopied text into a word processor or a new email message.

Todisplay Full Headers in Microsoft Outlook Express:

Outlook Express willinclude the full headers if you forward the message as an attachment,but therecipient might not be able to read them.

To send the full headers inplain text, just open the message, choose the "File" menu and"Properties", thenclick "Details".

These headers can be copied with CTRL-C and pasted intoa new message easily.

Outlook 550, 553, and relay-prohibited errors

The person(s) in youroffice who has administrative rights to your hosting account (if WorkzHost) andtypically manages the email accounts can login into the WorkzHostcontrol panelat http://admin.workzhost.comand reset thepassword(s) for individual email accounts.

If this person is unable toaccess the account please post a support ticket requesting the passwordbe resetby Workz personnel.

You will be provided a new password that you canchange the next time you access the account.

PLEASE REMEMBER - If youremail account password is reset and you are using Outlook, the newpassword willneed to be updated in Outlook as well.

Why are we getting warning notices about our email storage on the server?

POP3 Email - Outlook - Retain, Store or Keep Email OnServer

FYI - SIMPLY TO VERIFY, YES, IF YOU ARE HOSTED WITHOUR WORKZHOSTFACILITY AND USING OUR EMAIL SERVICES YOU DO INDEED HAVE POP3 E-MAILACCOUNTS, THOSE ARE THE ONLY ACCOUNTS WE SUPPORT.

Think of a POP3 like a P.O. Box and Outlook as yourassistant. Outlook goes to the Post Office, opens your P.O. Box andfetches your email and brings it back to the office so you can read it.Since Outlook took the mail out of the P.O. Box the typical setting inOutlook is the email has been removed from the P.O. Box.

However, if you want to check your e-mail frommultiple computers, you can configure Outlook to NOT DELETE the messageson your e-mail server (YOUR P.O. BOX).

So what's the problem? The problem is if you neverhave Outlook delete the mail you are keeping a copy of every singleemail you have ever received and eventually it is going to jam up yourP.O. Box.

I thought you didn't limit the size of the email? Youare partialy correct, we don't limit the amount or size of the messagesbeing sent through the e-mail system. We don't want a customer to losebusiness because they can't get a large PDF file, that say contains lossruns from a client, through their e-mail system..HOWEVER the differenceis what is being "SENT" through the system and what is being "STORED"on the system.

What if we want to keep a copy of everything on thehosting server ( re: in the P.O. Box)? - Not a great idea with POP3accounts, they aren't designed to handle that type of volume, plus it's avery time consuming task to recall older specific messages you mightwant and if you ever transfer e-mail servers it's nearly impossible totransfer all the stored mail. If you want this type of e-mail serviceyou should consider a Microsoft Exchange type of platform.

The best practice when using a POP3 account is to havea solid local backup procedure for the Outlook .PST file(s) whichis/are the file(s) on your local computer(s) that house e-mail,contacts etc from Outlook.

So why does Outlook even have an option to leavemessages on the server? - Because it can be a very helpful business toolwhen you want to access mail from multiple sources such as home, on alaptop and at the office for a specific amount of time. Say for exampleyou set a rule that if you check your messages from your home Outlook oryour Laptop Outook, it leaves a copy on the server for 7 days. Thatway, even though you checked it from home, or from your laptop, it willbe available the next time you run Outlook from your office.

When you leave messages on your e-mail server, you canchoose from several options to delete your messages. To make yourchoice, you need to consider several factors about your e-mail usage,such as how long you want the messages to be accessible from multiplecomputers and the storage limits imposed by your e-mail serveradministrator (That's us, and we don't impose limits, but if you don'tremove messages regularly it will jam your email system.).

Outlook allows you to select a time duration forleaving e-mail messages on the server. (We recommend not more than sevendays, unless special circumstance such as you will be on a vacation fortwo weeks and would still like to check email while away from office.)

On the Tools menu, click E-mail Accounts.
Click View or change existing e-mail accounts, and then click Next.
Select your ISP account, and then click Change.
Click More Settings.
Click the Advanced tab, and under Delivery, select the Leave a copy of messages on the server check box.

Select one of the following options:
- Remove from server after x days E-mail messages are downloaded to your computer but remain on the e-mail server for the number of days that you specify. This is the most common setting for people who want to read their messages at work but also download them for permanent storage on their home computer. We recommend that you choose the smallest number of days that suits your needs. The longer you leave messages on your e-mail server, the greater the risk of exceeding your mailbox size quota or having email "log jams".
- Remove from server when deleted from 'Deleted Items' E-mail messages are downloaded to your computer but also remain on the e-mail server indefinitely until you delete the e-mail message in Outlook and empty the Deleted Items folder. Just deleting the message doesn't remove the message from the e-mail server. WE DO NOT RECOMMEND THIS unless you consistently delete email from Outlook. If you just store e-mail in say "client folders" you have created, they are never deleted this remain on the server.
If you do not select either check box, messages are left on the server indefinitely. You will eventually "jam up" your e-mail services, unless you connect to the e-mail server from another computer that has Outlook configured to remove messages from the e-mail server.
Click OK, and then click Finish.

Setup Auto Responder & Vacation Messages via Workzhost

WorkzHost -What is and how to create an Autoresponder or Vacation Message

An Autoresponder is a message that is automatically sent back to theperson sending you an Email when the Email is received on the server.The most common application is the Vacation or Out of Office message.

Setup an Autoresponder / VacationMessage

Login to http://admin.workzhost.com.

If you are the domain administrator you canuse your username/password.

If you are just an email user you can use yourfull email address and email password.

What's the difference? The domain admin(agency owner or tech etc.) can manage all email accounts, the emailowner can only manage their email account.

If you are just an email user skip down to #4.

1. Once you have logged in click on thedomain you want to create an Autoresponder for.

2. Then click on the "Mail" icon:

3. Click on the email address you wish to create an Autoresponderfor:

4. Then click on the "Autoresponders" icon.

Referring to the graphic below.

1. Create an Autoresponder name such as "Vacation" or "Out of Office"

2. The "Upon automatic response" field can be used if you wish to sendthe vaction message back to the send but say for example route themessage to another person in your office.

3. Conditions can be set to identify specific messages you may receiveon a consitent basis. For example if you had an Email link on yourwebsite that when clicked would open an email pre-addressed to you@yourdomain.com andautomatically filled in the subject such as "Product Inquiry" you couldhave the system send only autoresponders to those type of emails.

4. Create the subject of your Autoresponder "I'm on Vacation untilAugust 1st"

5. Reply Info - typically reply address is your email address, usingPlain Text typically keeps your Autoresponder from being spam filteredby the recipients email service, encoding should be left to default.

6. Limits - If you get email from the same source multiple times youmay want to limit how many times your send the reply and how many uniqueemail address you wish to store.

7. Last but not least you can send attachments with your autoresponderhowever before attachments can be specified they must be uploaded anddefined on the prior screen which you can get to by clicking theAutoresponders underlined link at the top of the page.

How To Create an Email Alias on the WorkzHost Server

An Email alias is a method to associate an email address to anexisting address without creating an actual account that must bechecked. For example if your main email was jdoe@southhillins.comyou could create an alias of sales@southhillins or service@southhillinsand any email for sales or service would automatically go do jdoe.

Barracuda Spam Tips

So you are now (or we really should say your domain or perhaps domains)are protected by our Barracuda Spam and Virus protection, but you arestill getting some spam. How come?

Here are some scenarios to consider:

First, we typically only apply Barracuda to the primary domain for acustomer unless instructed to apply to multiple domains.

If you are forwarding mail from anysource, such as another domain and it's an allowed domain or emailaddress thenSPAM passed through that email account may be allowed to your account.

Do you or your co-workers have:

1. A backup email account througha free service (gmail, yahoo, msn etc.) that is forwarding to youraccount?
2. An email account through your ISP that is forwarding to youraccount?
3. An email on another domain you own (re: you own ACME.COM and.NET) your main account is on the .com, you are forwarding from your.net butthe .net is not protected by Barracuda.

The other item to always check is- are you pulling multiple accounts from a program such as Outlook?

Forexample, you are pulling your e-mail from your main account, however youare alsopulling from another account (such as described in 1 through 3 above)that is/arenot Barracuda protected account(s).

This can typically be checked bygoing to Outlook and clicking, Tools and then Accounts to verify howmany emailaccounts you are actually checking with Outlook.

Another quick test is to checkyour online webmail against your Outlook.

Before you pick up your email withOutlook - log into your webmail account. Typically http://webmail.yourdomain.comandlog in with your user name (Full Email Address) and password. See howmany messages exist. Then runOutlook, if you get more messages in Outlook than what was in yourwebmail you arepulling mail from another source that is probably not Barracudaprotected.
