The problem is if you neverhave Outlook delete the mail you are keeping a copy of every singleemail you have ever received and eventually it is going to jam up yourP.O. Youare partialy correct, we don't limit the amount or size of the messagesbeing sent through the e-mail system. We don't want a customer to losebusiness because they can't get a large PDF file, that say contains lossruns from a client, through their e-mail system..HOWEVER the differenceis what is being "SENT" through the system and what is being "STORED"on the system. &lt;/span&gt;&lt;/p&gt;&lt;p style="text-align: justify;"&gt;&lt;span border="0"&gt;What if we want to keep a copy of everything on thehosting server ( re: in the P.O. Box)? - Not a great idea with POP3accounts, they aren't designed to handle that type of volume, plus it's avery time consuming task to recall older specific messages you mightwant and if you ever transfer e-mail servers it's nearly impossible totransfer all the stored mail. If you want this type of e-mail serviceyou should consider a Microsoft Exchange type of platform. &lt;br /&gt;&lt;/span&gt;&lt;/p&gt;&lt;p style="text-align: justify;"&gt;&lt;span border="0"&gt;The best practice when using a POP3 account is to havea solid local backup procedure for the Outlook .PST file(s) whichis/are the file(s) on your  local computer(s) that house e-mail,contacts etc from Outlook. &lt;/span&gt;&lt;/p&gt;&lt;p style="text-align: justify;"&gt;&lt;span border="0"&gt;So why does Outlook even have an option to leavemessages on the server? - Because it can be a very helpful business toolwhen you want to access mail from multiple sources such as home, on alaptop and at the office for a specific amount of time. Say for exampleyou set a rule that if you check your messages from your home Outlook oryour Laptop Outook, it leaves a copy on the server for 7 days. Thatway, even though you checked it from home, or from your laptop, it willbe available the next time you run Outlook from your office. &lt;/span&gt;&lt;/p&gt;&lt;p style="text-align: justify;"&gt;&lt;span border="0"&gt;When you leave messages on your e-mail server, you canchoose from several options to delete your messages. To make yourchoice, you need to consider several factors about your e-mail usage,such as how long you want the messages to be accessible from multiplecomputers and the storage limits imposed by your e-mail serveradministrator (That's us, and we don't impose limits, but if you don'tremove messages regularly it will jam your email system.). &lt;/span&gt;&lt;/p&gt;&lt;p style="text-align: justify;"&gt;&lt;span border="0"&gt; Outlook allows you to select a time duration forleaving e-mail messages on the server. We recommend that you        choose the smallest number of days that suits your needs. The longer you        leave messages on your e-mail server, the greater the risk of exceeding        your mailbox size quota or having email "log jams". &lt;/span&gt;&lt;/li&gt;        &lt;li&gt;        &lt;span border="0"&gt;Remove from server when deleted from 'Deleted        Items'   E-mail messages are downloaded to your computer but also remain        on the e-mail server indefinitely until you delete the e-mail message        in Outlook and empty the Deleted Items folder. Just deleting the message        doesn't remove the message from the e-mail server. WE DO NOT RECOMMEND        THIS unless you consistently delete email from Outlook. If you just        store e-mail in say "client folders" you have created, they are never        deleted this remain on the server. &lt;/span&gt;&lt;/li&gt;    &lt;/ul&gt;    &lt;/div&gt;    &lt;p style="text-align: justify;"&gt;    &lt;span border="0"&gt;If you do not select either check box, messages are    left on the server indefinitely. How come?&lt;br /&gt;&lt;br /&gt;Here are some scenarios to consider:&lt;br /&gt;&lt;br /&gt;First, we typically only apply Barracuda to the primary domain for acustomer unless instructed to apply to multiple domains.  &lt;br /&gt;&lt;br /&gt;If you are forwarding mail from anysource, such as another domain and it's an allowed domain or emailaddress thenSPAM passed through that email account may be allowed to your account.&lt;br /&gt;&lt;br /&gt;Do you or your co-workers have:&lt;br /&gt;&lt;br /&gt;1. A backup email account througha free service (gmail, yahoo, msn etc.) that is forwarding to youraccount?&lt;br /&gt;2. An email account through your ISP that is forwarding to youraccount?&lt;br /&gt;3. An email on another domain you own (re: you own ACME.COM and.NET) your main account is on the .com, you are forwarding from your.net butthe .net is not protected by Barracuda.&lt;br /&gt;&lt;br /&gt;The other item to always check is- are you pulling multiple accounts from a program such as Outlook?&lt;br /&gt;&lt;br /&gt;Forexample, you are pulling your e-mail from your main account, however youare alsopulling from another account (such as described in 1 through 3 above)that is/arenot  Barracuda protected account(s). &lt;br /&gt;&lt;br /&gt;This can typically be checked bygoing to Outlook and clicking, Tools and then Accounts to verify howmany emailaccounts you are actually checking with Outlook.&lt;br /&gt;&lt;br /&gt;Another quick test is to checkyour online webmail against your Outlook.&lt;br /&gt;&lt;br /&gt;Before you pick up your email withOutlook - log into your webmail account.
